Event Headshots

A working headshot booth needs a 10×10 footprint at minimum (10×20 is better), at least nine feet of ceiling clearance, one dedicated 15-amp circuit, and reliable connectivity for digital delivery. At peak load — lights, two computers, a dye-sublimation printer, and a hotspot — expect a 400 to 600 watt draw.
Those five numbers decide whether the booth works. Everything else is negotiable. Here is what each one is actually for, and what to confirm with exhibitor services before you sign off on a floor plan.
Minimum: 10×10. Comfortable: 10×20.
The footprint is not about the photograph — a headshot needs surprisingly little room. It is about the three zones that have to coexist:
Cram all three into a 10×10 and the queue ends up in the aisle, which is where show management will find it. At BIO we ran a single station for four days and the flow mattered as much as the photography: the guest should move forward through the booth, not double back through the line they just left.
If you have the choice, take a corner. Two open sides let you separate the entrance from the exit, which is the single cheapest fix for queue congestion.
One dedicated 15-amp circuit.
This is the requirement most likely to be quietly wrong. Booth packages routinely say electricity is included, which means a drop exists — not that you have the circuit to yourself, and not what it is rated for.
Our own peak draw runs 400 to 600 watts with continuous lighting, two computers, the printer and a hotspot. That is comfortably inside a 15-amp circuit on its own, and not comfortable at all if it is shared with a neighbour running a monitor wall.
Ask exhibitor services three questions, in writing:

Nine feet, minimum.
Headshot lighting works from above the subject's eye line. Light stands go up to seven or eight feet, and the modifier sits above that. Under nine feet you are lighting people from the side, and side-lit headshots look like ID photographs.
Ballrooms are fine. Some exhibit halls have low-hanging rigging, ductwork, or banner truss over specific stands — worth checking against the actual booth number rather than the hall average.
Digital delivery is the half of the product that gets used, so it needs a path to the internet that does not depend on the show's public Wi-Fi.
Public conference Wi-Fi is optimised for many small connections, not for pushing image files all day. We run a dedicated hotspot and treat house Wi-Fi as the backup, not the other way round. If the venue sells hardwired internet to exhibitors and the budget allows it, take it.
Delivery platforms that handle email, SMS, and on-booth QR handoff — we used SpotMyPhotos at BIO — are doing an upload per guest. At 250 guests a day that is a real amount of traffic.
For a travelling crew, the logistics are a bigger risk than the photography.
Ask show management for the load-in window, the marshalling yard process, and whether the hall requires union labour for freight — that last one changes both your schedule and your cost.
Before you sign the floor plan:
Numbers 9 and 10 are the ones that quietly ruin a show. Colour on a screen and colour on photographic paper are different, and finding that out on day one is much better than day none.
A booth without a dedicated circuit trips at peak. A booth under nine feet produces headshots people do not use. A booth with no queue management loses the line at exactly the moment the floor is busiest.
None of these are photography problems, which is why they are usually nobody's job. Make them someone's job.
